MIDB Project Management - Explanation of Scope

MIDB project managers support requests for service by reviewing and providing project management support for the MIDB Service Hub resources requested from investigators and the MIDB community.

An MIDB project manager’s role generally includes:

Working with MIDB hub personnel to confirm deliverables and effort required, as well as any additional MIDB resources required (e.g. space, equipment, assessment kits, etc.) in order to create an MIDB Statement of Work (SOW) for approved requests for service. MIDB SOWs will usually include a minimal amount of project management effort (generally 1-5%, occasionally more if project demands necessitate) to ensure successful completion of MIDB deliverables, including:

Developing and implementing comprehensive timelines and project plans for accepted requests to meet applicable deadlines
Summarizing and identifying action steps for project meetings along with necessary timelines
Ensuring MIDB Hub staff execute assigned deliverables according to established timeline
Communicating project effort, updates and current status with the MIDB project management team in order to ensure efficient and effective communication
Working with requester and MIDB hub staff on revisions to the SOW if/as needed

Supporting the review of requests for service and identifying any needed clarifications prior to approval, including:

Consulting with hub leads to determine hub capacity to take on request and relevance of project to MIDB/hub mission
Convening requesters and MIDB hub personnel for a technical meeting to review the request and, once any questions have been answered and understandings confirmed, identify appropriate level of MIDB support/involvement needed; additional meetings to discuss MIDB’s role in the project may be scheduled as needed

An MIDB project manager’s role generally does not include managing the completion of request tasks not related to the MIDB Statement of Work. Examples include:

Grant proposal Biosketches and Letters of Support (unless requested from an MIDB hub personnel)
Project budgets beyond confirming amounts of effort and timing for MIDB staff on MIDB deliverables supporting the project. The investigator's departmental accounting team should continue to be the main point of contact for overall project budgets.
Finalizing project aims
IRB applications
Writing Standard Operating Procedures (SOPs) for modalities beyond the scope of the MIDB Statement of Work
Other deliverables not agreed to in the SOW, or as determined by the MIDB Project Manager and hub(s), such as:
- Navigating working with the Office of the Vice President for Research (including TechComm and the Sponsored Projects Administration (SPA)), including but not limited to:
  - Facilitating and negotiating Material Transfer Agreements (MTA) process, including drafting MTAs
  - Non-Disclosure Agreements (NDA) and CDAs (regulatory processes, drafting)
  - Establishing business collaborations for project requests
  - Setting up and managing Small Business Innovation Research (SBIR) agreements
  - Study teams should continue to lead on these items, with MIDB weighing in as needed relevant to MIDB deliverables
- Service level agreements, contracts, quotes or agreements with vendors, facilitating ancillary studies
  - Study teams should continue to lead on these items, with MIDB weighing in as needed relevant to MIDB deliverables
